This is a summary of our policies that can be found in your rental agreement. Please refer to the agreement for official language and details of all our policies.
To secure a booking, we ask for a non-refundable deposit of $100 or 25% of the total package, whichever is greater. The date and equipment/services will be reserved once we receive both the deposit and signed agreement.
The remaining balance, including GST and PST, will be outlined in the invoice. The deposit will be applied toward this total, and the final payment is due 10 days before the event date.
To cancel a reservation:
Cancellations due to illness may be rescheduled; please see our rescheduling policy for more information.
Cancellation requests must be confirmed in writing. Refunds will be processed within 5 business days.
If the customer needs to reschedule a reservation before the cancellation period, they can do so without any additional fees and the deposit will still apply to the payment.
If the customer needs to cancel due to illness or sickness-related reasons (such as COVID-19 symptoms), they may reschedule their reservation. Proof of illness maybe required. Refunds will not be provided if rescheduling request is within 7 days of the event date, but if they prefer not to reschedule, they will receive a credit for future bookings.
Delivery rates are included for all packages from Greater Victoria to Duncan. For locations outside this area, delivery rates vary based on the location. Set-up and take-down are not included unless specified for the pack. We’ll provide delivery and pick-up windows the week of the event. If the customer has specific timing constraints, they should let us know at least one month in advance.
The customer must ensure that drop-off and pick-up points are accessible to a vehicle. For ground floor entrances, door delivery can be provided if easily reachable. Any parking fees incurred for delivery away from the vehicle are the customers responsibility. If the package includes set-up/take-down or facilitator services, the customer must make sure the delivery location is accessible for these services.
At the end of the rental the customer must have the equipment ready for pick-up at the agreed location and repackaged in the provided packaging. If the equipment isn’t available for pick-up when scheduled, the customer will be charged the rental fees plus an extra 10% for each hour it remains in their possession past the agreed return time.
The equipment is only to be used for its intended purpose, following all provided guidelines and recommendations. The customer will adhere to relevant laws and regulations, and thoroughly read all instruction manuals, operating instructions, and warnings.
The customer will not alter or modify the equipment without our written consent. If any changes are made with our approval, they must be easily removable and not damage the equipment’s functionality, appearance, or value.
The equipment will be in good working order and suitable for its intended use upon delivery. If the customer notices any issues, they will notify us immediately. If at any time the equipment becomes unsafe, they will discontinue use right away.
The customer is responsible for the equipment from the moment it is in their possession until it is returned. The customer assumes the risk for any loss, theft, damage, or destruction of the equipment, regardless of the cause.
If the equipment becomes unsafe at any time, the customer must discontinue use immediately.
In the event of loss or damage:
The customer is responsible for repackaging the equipment in the packaging provided, with all items included with the pack in accordance with provided instructions. We will take care of items that require laundering, normal cleaning, and sanitizing.
If there is excess dirt beyond normal use or stains, a reasonable cleaning charge will be applied.
We understand that weather can be unpredictable on the wet coast. If the event is affected by bad weather, the customer should contact us to discuss rescheduling or other options. If road conditions are unsafe we will reschedule your reservation based on availability or look at other options.
The equipment we provide is intended solely for personal, family, household purposes or by use of clubs, groups, companies for events (non-commercial use). It must not be used for business purposes or resale unless explicit written permission is granted by us.
